How to Get Past the Gatekeeper: 9 Cold Call Tactics and the Direct-Dial Data Behind Them

How to get past the gatekeeper: nine cold call tactics built on direct-dial versus switchboard connect data

The surest way to get past the gatekeeper in sales is to dial a line that has none. In Spona's 10,000-dial benchmark, a direct dial reached the prospect on 10.0% of dials. A switchboard number did on 4.0%.

The main line is often all you have, so this guide covers both routes. It starts with the number data. Then come nine tactics for the switchboard, and the three lines my team at Spona uses on 2,000 logged main-line dials. It ends with the AI screeners now answering mobiles, the US and UK call rules, and where Spona's data helps or does not.

Getting past the gatekeeper starts with the number you dial

A receptionist only stands in your way when the number you hold rings the front desk. Spona's dial benchmark covers 10,000 sales dials, logged by number type. Every rate below uses dials as the denominator.

Number dialedDialsReached the prospectConversation about need or next steps
Direct dial (the person's desk line)8,00010.0% (800)6.0% (480)
Switchboard (the company main line)2,0004.0% (80)2.0% (40)

Put another way, a direct dial took about 10 dials per connect and a main line about 25. The gap is far too wide to be chance. It is still an observed gap, not a promise.

People with a desk line on file may differ from those without. So the benchmark does not say your connects will multiply when you swap numbers.

Two things the benchmark does not hold. It dialed no mobiles, so it gives no mobile connect rate.

Its definitions are also its own. Orum counts any call longer than one minute as a conversation. Ours needs a substantive exchange about need or next steps. Compare rates across vendors with that in mind.

Cognism says its mobiles "boost connect rates by up to 3x" and publishes no method. Treat that as a vendor claim.

The second question is what sits in your file. Spona classified 24,000 delivered numbers by type over about three months. By type label, 77.0% were lines that ring one named person, desk or mobile. One in five was a company main line.

Waffle chart of 24,000 delivered numbers: 35 squares direct dial, 42 mobile, 20 switchboard, 3 unknown

A type label is not phone verification. It comes from the source label and the carrier's number type, not from a test call. One person may hold several numbers, so these are shares of numbers, not of contacts. Expect some main lines in any list you buy, and plan the tactics below for them.

How to get past gatekeepers when cold calling: 9 tactics

A gatekeeper is doing a job: keeping time-wasting calls off a manager's phone. Each tactic below gives them a reason to put you through, or a next step they can take without you.

1. Dial the direct line or mobile before the switchboard

Sort your list by number type before you dial: desk lines and mobiles first. The main line is the fallback when the direct line keeps going to voicemail. In our benchmark a main-line connect cost about two and a half times the dials of a desk-line connect. Put the slower route last.

Cognism's first tip is the same: call the mobile. It calls that "more effective than dialling direct dials" and gives no figure. We have no mobile figure either. That is why mobiles sit beside desk lines here, not above them.

2. Get the name and title before you call

Reception will confirm a name. It will rarely search for one. Walk in with the full name, the exact title and the pronunciation. The company's team page, a press release or LinkedIn can give you all three.

"Could you put me through to Dana Whitfield, your Head of Sales?" is a request reception can act on in one keystroke. "Whoever runs sales" starts a negotiation. When you have the title but no name, use tactic 4.

3. Say who you are and why in one sentence

"Hi, this is Jesse from Spona. I'm calling about the prospect data your sales team uses." That is the whole introduction. No pretext: not "returning her call" when you are not, not "it's urgent" or "it's confidential". Receptionists have heard every pretext before.

In the UK, the ICO's telephone marketing guidance is blunt. You must "always say who is calling" and let your number, or another contact number, display. For US calls to home and mobile numbers, the FCC requires your name, your company and a contact number or address. Saying who you are also works twice: the second call to that desk gets a warmer answer when the first one was straight.

4. Ask for help reaching a role, not a transfer

"Could you help me reach the person responsible for sales prospecting data?" works when you have no name. Reception knows who owns what. A request for help also changes the receptionist's job for a moment, from blocking to guiding.

One caution from my own log, which the next section shows in full. The help line did not beat a plain transfer request. Use it because it works without a name, not because it charms.

5. Ask the gatekeeper who handles the problem

When the transfer is refused, ask a question reception can answer: who looks after the data your sales team prospects from? You leave with a name, often a title, and the next dial goes straight to that person. Write it down before you hang up.

In an owner-run company, the gatekeeper is sometimes the first buyer. Ask whether supplier calls go to them. If so, make your case to them.

6. Use the company directory, then save the extension

A switchboard with a dial-by-name directory lets you reach a desk without speaking to anyone. Try the surname first, then the first name.

Whatever route works, log it: the extension, the direct line reception read out, the receptionist's name. The second call to that company should need no gatekeeper at all. A team that logs extensions builds its own direct-dial file one dial at a time.

7. Turn "send me an email" into a next step

Agree, then make the email specific, because a specific email gets you a name, a topic and permission to follow up. "Happy to. Who should I address it to, and what are they working on this quarter?"

Send it the same day. Mention the receptionist by name if they gave it, and call back on the day you said. The full "send me an email" talk track, with my team's test target for it, sits in our cold call scripts post.

8. Treat the executive assistant as your first meeting

An assistant to a VP decides what reaches the calendar. So pitch them as you would the executive: the problem you solve, one proof point, and a 15-minute ask. Ask what their executive is focused on this quarter and how they prefer to receive requests.

"Send it to me and I'll put it in front of her" is a yes. Treat it like one, and send the best email you have within the hour.

9. Ask for voicemail, and make it worth passing on

When every other route fails, ask reception to put you through to their voicemail. Many will. A voicemail is a direct line to the person's ear, so leave your name, your company, the one reason you called and your number. Our scripts post has two voicemail versions to copy.

Reception keeps office hours and the person you want often does not. Our best time to cold call guide compares the timing studies, so they stay out of this one.

Timeline of four moments on a main-line call and the one move that keeps each of them alive

What to say to get past gatekeepers: three tested lines

These are the three lines my team dials with on a main line, word for word. We logged them on 2,000 switchboard dials over about three months. Those are the same dials that make up the switchboard arm of the benchmark above, split three ways. This is one dataset seen closer, not a second study.

Line, as spokenSwitchboard dialsPut through to the prospectRate
"Hi, this is Jesse from Spona. Could you put me through to your Head of Sales, please?"800303.8%
"I'm calling about the prospect data your sales team uses. Is the Sales Operations Manager available?"700324.6%
"Could you help me reach the person responsible for sales prospecting data? I can explain the reason briefly."500183.6%
All three2,000804.0%

"Put through" means the call reached the intended prospect, the benchmark's "connect". The denominator is dials, not receptionists who picked up. So none of these is a share of gatekeepers who said yes.

I wanted a winner. There is none. The spread runs from 3.6% to 4.6%. That is within chance (p = 0.63), and the confidence intervals of all three overlap.

What the log does say is useful anyway. Each of the three honest lines got through about once in 25 main-line dials. The log has no pretext line to compare, so it cannot say honesty is what worked. Pick the wording that sounds like you, and plan what you do when the answer is no.

One of the 80 connects went like this. I identified Spona and the topic at reception, and reception transferred the call to a Sales Operations Manager. The manager said their current export missed regional accounts and asked how a fixed-account sample would work. They agreed to review a 100-account sample.

The transfer took one sentence; the conversation took a reason the manager cared about.

Swap the roles for your buyer's titles and keep the shape: who you are, the topic, the role. What you say once the transfer lands is a different skill. The openers in our scripts post cover it.

How to get past the AI gatekeeper on a mobile

A mobile has no receptionist, but it increasingly has a screener. Apple's iOS 26 adds Call Screening, which gathers information from the caller and builds on Live Voicemail. The owner gets "the details they need to decide if they want to pick up or ignore the call". Apple lists English for the US, the UK and other regions, plus languages such as French, German and Spanish.

On Pixel phones, Google's Call Assist answers the call and asks who's calling and why. In the US and the UK, it can run automatically or when the owner taps to screen. Google adds that not every spam call can be detected. So the screener is not a filter you beat; it is a receptionist you satisfy.

Your move is the same sentence as tactic 3, spoken to a machine: name, company, the one reason. The owner gets your answer before deciding whether to pick up. A pitch invites a decline; a plain reason can earn a pickup or a callback. Pause after the prompt, speak slowly, and never hang up on the screener.

Caller ID can also affect whether your call gets through at all. The FCC's STIR/SHAKEN framework lets the receiving carrier verify that a call is from the person making it. According to the FCC, it should help strengthen call-blocking services and unmask spoofed calls.

Dial from a number registered to your company, with your caller ID on. Keep the same number so the people you reach can save it.

Getting past gatekeepers within US and UK call rules

The table below covers the rules that matter when you move from a main line to a person's line or mobile. The general who-you-may-call list, with the TPS and CTPS screening steps, lives in the compliance section of our scripts post.

QuestionUSUK
Does a B2B sales call fall under the telemarketing rules? Most calls between a telemarketer and a business are exempt from the Telemarketing Sales Rule. Calls selling nondurable office or cleaning supplies, or selling employees items for their own use, are notPECR covers B2B marketing calls; you must screen against the TPS and the CTPS
Is a direct dial or a mobile treated differently from the main line? The Do Not Call Registry covers personal numbers, not business lines, and a cell phone can be registeredThe same TPS and CTPS rules apply to every number; a number listed for less than 28 days is not yet covered
What applies on the call itself? No autodialed or prerecorded-voice calls to a cellular number without prior express consent. The 8 a.m. to 9 p.m. local-time window applies to wireless numbers. So does the duty to give your name, your company and a contact number or addressYou must say who is calling, show your number or another contact number, and give a contact address or freephone number if asked
What happens when the prospect says "don't call again"?On residential and wireless numbers, honor the request within 10 business days and keep honoring it for 5 yearsStop: regulation 21 bars calls to anyone who has asked you not to call; a registered subscriber may instead tell you they do not object, and may withdraw that at any time

The mobile row is where teams get caught. The business mobile in your file may be a personal phone that its owner registered. So screen mobiles against the Registry and your own do-not-call list, and dial them by hand. Do not read the B2B exemption as a mobile exemption.

In the UK, the ICO notes its guidance is under review after the Data (Use and Access) Act. Recheck the page before a new campaign.

Where Spona fits for getting past gatekeepers, and where not

Spona starts from a chat. You describe your ideal customer; the AI mines 40+ sources, verifies every lead and delivers a scored list in about 4 minutes. For a calling team, the choice that matters is the search type.

Standard Search with email and mobile costs 35 to 55 credits a lead. A credit costs $0.008 to $0.01 by plan. So a lead with a mobile runs $0.28 to $0.55.

Targeted Search, a Chrome extension for one named contact, charges 88 credits for a mobile number. That is $0.70 to $0.88. Enrichment adds a mobile to a list you already hold for 35 credits. That is $0.28 to $0.35.

Each new search session costs 1,000 credits once, and every search starts with a free sample. The price per lead shows at checkout, before you buy, and the pricing page lists the rates.

The number mix above shows what to expect. By type label, most delivered lines ring one named person, and one in five is a company main line. That is where the nine tactics earn their place.

Three limits. First, a type label is a classification, not a verification call. The mix is Spona's own count across deliveries, so do not expect a direct-dial column to filter on. The first dial tells you what you hold. Cognism says its data team calls the numbers to verify them, a stronger claim than Spona makes.

Second, Spona's phone prices are for mobile numbers; the pricing page lists no direct-dial price. Third, Spona has no dialer and no AI calling today. Both are only announced, so you dial from your own system. Our Aircall alternatives post compares the dialers that do parallel dialing.

Getting past the gatekeeper FAQ

What is a gatekeeper in sales?

A sales gatekeeper is anyone who decides whether your call reaches the decision maker. That means a receptionist on the main line, an executive assistant, an office manager, and now the call screener on a mobile. Receptionists alone hold about 947,500 US jobs, and answering phones is one of their listed duties. The gatekeeper in sales is rarely the buyer, but in small companies the same person can be both.

How do you get past a gatekeeper without a name?

Ask for the role, not a person. All three lines my team logged name a role or title, never a person, and they reached the prospect on 4.0% of main-line dials. If reception still declines, ask who handles the problem and dial that name next time. A dial-by-name directory also lets you try a surname you found on LinkedIn.

What to say when the gatekeeper asks what it's about

Give the topic in one sentence, not the pitch and not a pretext. If the answer is "send an email", ask who it should go to and what they are working on. Never claim to be returning a call you were not asked to make. My team blends two of its tested lines into "It's about the prospect data your sales team uses, and I can explain the reason briefly."

Should I ask for the prospect's voicemail?

Yes, once the transfer is refused. Ask directly, "Could you put me through to their voicemail?", and many receptionists will. Leave your name, company, one reason and your number, then note the extension so the next call skips reception. Our 15 cold calling tips post covers the short voicemail and the follow-up cadence after it.

Is a direct dial the same as a mobile?

They are not: a direct dial rings the person's desk line, and a mobile is the person's business phone. A switchboard is the company's main line, answered by reception. Both skip the human gatekeeper; the benchmark compares desk lines with switchboards and dialed no mobiles. Mobiles can carry an AI screener instead, and the is cold calling dead post takes on the claim that nobody answers unknown numbers.
